Job Summary
Working as a Citi Hospitality Centralized Reservation Agent will allow you the opportunity to work with GREAT people like yourself! The Citi Hospitality Centralized Reservation Agent will interact closely with the Firm's employees as a "One-Stop Shop" to reserve all rooms in managed space. In addition, to act as the liaison between the Firm's employees with the local teams and departments, including but not limited to catering, conference center, and audio visual to ensure a seamless booking process. In addition, to assist with ad hoc projects provided by the Conference Center Manager.
Essential Job Functions:
Responsibilities:
* Familiar with all managed space rooms and attributes at Firm's Head Quarters.
* Responding to numerous phone calls and emails with new meeting requests and special "add-on" information for existing meetings.
* Handling meeting room bookings, utilizing the reservation system (EMS) and focusing on the strategic assignment of meeting space so as to maximize utilization.
* Sending initial confirmations in connection with bookings and following up with Video Conference details prior to the event to confirm the current status of the meeting, the accuracy of participant counts, the need for special equipment, etc.
* Connecting and communicating to all relevant internal departments and subcontractors the specific needs of the client, both in advance of and during the course of meetings, including Audio Visual requirements, food and beverage requests, conference room set-ups, signage, distribution of materials, etc. for "add-on"
* Assisting with Bulk Beverage request via the Centralized hotline or email, including retrieving bill information and providing information to the Catering Manager.
* Carrying out daily "call-arounds" for next-day events, getting final confirmation of the meeting's time, number of participants for all Video Conference meetings.
* Knowledge and familiar with the CEMP policy, including NERF.
* Knowledge of obtaining correct approval and billing information for all expense related activity to include; food and beverage, equipment rentals, etc. Liaise the relevant departments to gather the information during the initial confirmation process.
* Entering complete cancellation details into the reservation system (EMS) confirming any meeting cancellations to the client by e-mail and applying cancellation charges as appropriate.
* Quickly identifying booking conflicts or potential booking conflicts, suggesting solutions and if not immediately resolved, discussing such conflicts with the Conference Center Manager and Senior Conference Coordinator.
