Job Description
Description We are in the non-profit sector and are offering a contract to permanent employment opportunity for an Executive Assistant in Milwaukee, Wisconsin. As an Executive Assistant, you will be primarily responsible for providing administrative support to the CEO, coordinating agency-wide meetings, maintaining accurate records, and acting as the liaison for the Board of Directors.
Responsibilities
- Efficiently manage the CEO's daily administrative tasks, including scheduling meetings and appointments and coordinating correspondence
- Serve as the primary point of contact for the CEO's office, handling internal and external issues as they arise and determining the appropriate course of action
- Support the Executive Team in achieving Agency scorecard goals and priorities by assisting with shared administrative needs
- Coordinate agency-wide meetings and projects, including planning, managing logistics, and preparing agendas
- Prepare and distribute internal and external communications, such as reports, presentations, memos, and other required documents
- Maintain the Executive Team's calendar and keep them informed of ongoing company or community initiatives
- Serve as the liaison for the Board of Directors, responding to requests and providing support as needed
- Prepare and distribute board meeting agendas and materials, ensuring all required parties receive them
- Maintain accurate minutes of the Board, Foundation, related committees, and other governance meetings and retreats
- Manage meeting coordination for location, catering, supplies, etc. while maintaining complete board records and documentation as per bylaw or compliance requirements Requirements - A minimum of 5 years of experience in an Executive Assistant role within the Non-Profit sector.
- Proficiency in ADP - Financial Services for managing financial transactions and payroll.
- Proven experience with Cisco Webex Meetings to coordinate and facilitate remote meetings.
- Familiarity with Concur for managing travel and expenses.
- Demonstrated proficiency in a CRM (Customer Relationship Management) system.
- Experience with Kronos Timekeeping System for accurate time and attendance management.
- Proficiency in using About Time for efficient project management.
- Excellent calendar management skills, with the ability to coordinate complex executive meetings and events.
- Outstanding communication skills, both written and verbal.
- Experience in conducting conference calls and managing the associated logistics.
- Ability to handle correspondence effectively and professionally, including email and traditional mail. TalentMatch®
